Position Description:

The Town of The Blue Mountains is a growing and progressive, four-season community with stunning natural features, including the Niagara Escarpment, Beaver Valley and the Georgian Bay shoreline, and the various recreational activities and experiences they afford. We are seeking to fill the position of Administrative Assistant in our Clerks and Community Services Departments for an 18-month contract. Position Overview:

Reporting to the Acting Director Community Services and the Town Clerk, the Administrative Assistant will:
• Provide secretarial and administrative support to the Town Clerk/Acting Director of Community Services and other Division staff
• Drafting Staff Reports, correspondence and by-laws
• Typing letters, transcribing minutes of meetings, labels, agendas, spreadsheets
• Managing Clerks & Community Services Department records and processing them into the TOMRMS system
• Minute taking at assigned meetings
• Front counter and reception functions
• Assisting Clerks/Community Services division staff by scheduling meetings/inspections and following up with confirmations
• Responsible for accessible template creation and maintenance.
• Act as the Clerks website liaison for all Division matters related to the Intranet and Town Internet
• Mail pick up and dispatch
• Process all Departmental Invoices, Purchase Orders, etc. and monitor Departmental spending/budgeting
• Assists in the maintenance of a positive team environment by working co-operatively with other employees, using the appropriate processes for handling problems, helping to motivate and encourage peers, contributing ideas, and assisting others where necessary
• Provide support to all division staff, including departmental vacation relief and back-up as assigned from time to time

Required Knowledge, Skills & Experience:

• A minimum of 5 years of administrative experience in a municipal setting, community services and/or legal services environment or approved equivalent
• Requires successful completion of College level certificate in Business Office Administration (or similar)
• Requires at least one to two years’ experience in dealing with the public
• Requires excellent skills in Microsoft Office Suite and Adobe Acrobat, spreadsheet and database computer skills required
• Must have good organizational skills to maintain records and ensure reports are completed in a timely manner
• Responsible for the basic care and proper usage of office equipment 

Salary Range: Grade 4 ($45,128 - $55,418 - 2018 Rate)
