Make a Deputation

Deputations are materials submitted to the Clerk's Office by members of the public regarding a topic of interest. Once submitted, you then present your materials to Council, Committee of the Whole or to a Committee of Council.

  • If you wish to present to Council during a Council or Committee of the Whole meeting, you must submit the Deputation Request Form and materials to the Town Clerk by 9:00 a.m. on the Friday, 10 days in advance of the Council meeting and 11 days in advance of the Committee of the Whole Meeting.
  • Following the release of the agenda, if you wish to appear as a deputation regarding any matter included on the agenda, you must submit the Deputation Request Form and materials to the Town Clerk by no later than 9:00 a.m. on the Thursday immediately before the subject meeting.

To speak at a meeting of Council or Committee of the Whole, you must complete this form and submit it to ensure that your name and address are accurately noted.

Deputation Guide

  1. Complete all fields of the Deputation Request Form.
  2. Review your presentation materials to confirm they include the following requirements:
    1. The name of the individual presenting to Council and the organization they represent (if applicable);
    2. The date of the meeting you will be presenting at;
    3. The purpose of your deputation and
    4. The request being made of Council by yourself/your organization.
  3. Submit the Deputation Request Form and your presentation materials to the Clerk’s Office for review by providing a digital copy via email to the Town Clerk or a hard copy of materials in-person at Town Hall. Memory sticks will not be accepted. 
  4. Clerks staff will confirm receipt of your materials and offer upcoming meeting dates for you to present to Council. Clerks staff may request adjustments to your submitted materials, at their discretion, or may be required to redact certain information in keeping with the Municipal Freedom of Information and Protection of Privacy Act (MFIPPA). Your materials may then be included on the requested Agenda, and be circulated to Council and posted to the Town website before the meeting date. Please contact the Clerks Office if you have any questions about what you may submit for inclusion on a Council Agenda.
  5. Please note: It is recommended that presentations be prepared with black letters on white background.

What to Expect During the Meeting

  1. Your presentation materials will be shared on the Council Chambers screens for ease of viewing for yourself, the public (in person or via Livestream) and members of Council. 
  2. You will present at the podium located in the centre of the room. Please let Clerks staff know in advance of the meeting if you require any accommodations. 
  3. At the beginning of your presentation ensure you state your name, organization affiliation (if applicable) and address prior to beginning your presentation. 
  4. You will have 10 minutes to address Council. A warning bell will sound when you have one minute left to speak, and the bell will sound again at the end of the 10 minutes. Council may ask questions of you following your presentation. 
  5. Clerk’s staff will email you a copy of your resolution following the Council Meeting. If you presented at a Committee of the Whole meeting, motions made will be considered at the next Council Meeting, and you will be contacted following the Council Meeting.
